The business context

A practical answer
to everyday complexity.

An AI project should begin with a task people recognise: answering repeated customer questions, finding the right procedure or preparing information for an approval. The first decision is where an assistant can help, what it is allowed to access and when a person must take over. Start with one workflow and agree what a good result looks like.

AXO’s AI Services offering brings together three practical starting points: Copilot implementation and adoption, company knowledge assistants, and customer service automation. An engagement can cover discovery, a controlled pilot, integration and operational handover. The selected platform, channels, licensing and ongoing support are confirmed in the proposal rather than assumed from a chatbot demonstration.

Is this your starting point?

When this service fits.

Common reasons to start the discussion.

01

Customers repeat the same questions while your team handles every reply manually.

02

Staff spend too much time finding the latest policy, procedure or technical document.

03

AI experiments produce drafts but do not connect to a measurable business workflow.

What the scope can cover

The work behind the outcome.

A detailed starting point, shaped into a proposal for your environment.

01

Customer service & sales chatbots

Plan a website chatbot or assess WhatsApp and other customer channels for common enquiries, lead qualification and routing. Define the approved answers, information to capture, consent wording and handover to a named team. Channel-provider accounts, business verification, APIs and messaging charges are assessed before committing to a channel. An assistant should offer a useful next step when it cannot answer.

02

Company knowledge AI

Design an internal assistant around approved SOPs, policies, manuals and project documents. Identify content owners, review dates and access boundaries before connecting a repository such as SharePoint. The proposed design can provide source references so employees can inspect the original material. Test restricted documents with different user roles; an answer must not reveal information the user is not authorised to see.

03

Copilot implementation & adoption

Review the Microsoft 365 environment, permissions, content readiness and suitable user groups before a pilot. Select realistic tasks such as preparing a meeting brief, summarising a document or drafting a response for review. Confirm product eligibility and licences for the chosen features. Include user guidance, an agreed evaluation method and an adoption review so the rollout is assessed against work completed rather than licences assigned.

04

Document & workflow automation

Assess repetitive document handling, enquiry intake and approval preparation. A scoped workflow may extract fields from a purchase order, create a draft record or route an item to the correct approver. Agree validation rules, duplicate handling and what happens when information is missing. Financial commitments, payments and sensitive decisions should retain an explicit human approval step appropriate to the process.

05

Business-system & agent integration

Map the APIs, identities and permissions needed to connect an assistant to a service desk, CRM, Microsoft 365 or a custom application. Distinguish answering a question from creating a ticket or changing a record. Each action needs a defined scope, validation and an audit trail. Feasibility depends on the target system’s supported interfaces, licences and integration permissions.

06

AI governance & ongoing improvement

Agree information handling, retention, model-provider settings, escalation and responsibility for content updates. Evaluate incorrect answers, unsupported requests and attempted misuse alongside normal examples. Where ongoing support is included, review feedback, usage, provider costs and a controlled improvement backlog. Changes to prompts, documents, tools or models should be tested before they affect the live experience.

Knowledge & access

Approved documents and user permissions define what the assistant can retrieve. Source references help people check the answer.

Tangible deliverables

Know what you should receive.

Documents, records and decisions that help your team operate afterwards.

Use-case & readiness brief

Business objective, intended users, information sources, exclusions and the first pilot’s acceptance criteria.

Assistant & integration design

Conversation journeys, approved knowledge, access boundaries, human handover and proposed system connections.

Pilot & evaluation record

Representative questions, action tests, access checks, business feedback and a decision on production readiness.

Handover & operating guide

Content ownership, configuration, support responsibilities, escalation, cost review and change procedures.

The delivery journey

From first conversation
to accountable ownership.

Before we begin

Your questions.
Clear answers.

Can you add a chatbot to our existing website?

A website assistant is a starting point for assessment. Confirm the website platform, approved information, enquiry destination and integration requirements.

Can the chatbot work on WhatsApp?

WhatsApp can be assessed as a channel. Implementation depends on the selected provider, business account eligibility, verification, API access, templates where required and usage charges. These dependencies are confirmed before delivery.

Will a knowledge assistant see every company file?

It should only use the approved content and permissions defined for its users. Review sharing settings, document ownership and restricted-information tests before rollout. A document connection is not permission to expose all documents.

Which AI platform will you use?

Select the platform after reviewing the use case, existing systems, security requirements, hosting options and cost. Microsoft Copilot, custom assistants and other suitable platforms are options to assess; the proposal identifies the chosen products and dependencies.

Can answers and actions be fully automatic?

Automation boundaries depend on the risk of the task. Define which replies or actions are permitted, what needs approval and how an uncertain request reaches a person. AI output can be incorrect and needs appropriate validation.

Are subscriptions and ongoing support included?

The proposal separates implementation, third-party licences, channel or model usage, hosting and ongoing support. It should also name who maintains the knowledge, reviews feedback and approves changes.
