What Should a Managed IT Agreement Actually Cover?

A practical guide to service boundaries, onboarding and evidence of delivery.

Conceptual illustration of clearly separated workstation, infrastructure, security, backup and support responsibilities.

Start with the systems you depend on

Before comparing monthly fees, list the systems your business depends on: workstations, identity, email, file storage, servers and network connectivity. For each one, identify who currently administers it and how a problem reaches that person. A useful agreement turns that informal arrangement into documented responsibility.

Separate support from project work

Routine support and a major migration require different planning. Ask which requests are included in the recurring service, which changes need an estimate and how onsite work is treated. This avoids a situation where both parties believe the other owns a task.

Make service hours explicit

Availability has several meanings. A monitoring tool may run continuously while user support operates during business hours. Ask when people answer requests, how critical incidents are escalated and which response commitments apply. Put those details in the proposal rather than relying on a general promise of support.

Look for an onboarding plan

The first stage should establish an inventory, access arrangements, contacts and known issues. Existing problems should be recorded and prioritised. For example, a hypothetical office with forty users might have reliable email but undocumented backup responsibilities. That gap deserves attention before a dashboard is treated as proof that everything is covered.

Ask for evidence that matters

A monthly review should connect the work to business needs: recurring issues, maintenance exceptions, unresolved risks and actions for the next period. Where backup testing is in scope, ask for a record of restoration rather than a count of successful backup jobs. Useful reporting makes ownership visible and helps management decide where to invest.

Compare the complete service

Compare scope, exclusions, service hours, onboarding and reporting together. Licences, hardware and project costs may be separate. The right arrangement is one you can understand, operate and review—not simply the proposal with the longest list of tools.
