Our client is a reputable property development company located in Selangor, Malaysia. With around 200 employees, they consistently deliver quality, affordable, integrated townships, high-rise residential projects, and commercial lots across the nation.
Recently, they collaborate with us to migrate to a new digital workspace environment by implementing Microsoft Teams to their work ecosystem.
The client was using various platforms for internal and external collaboration and file sharing. For example, they used tools like Dropbox or Google Drive for file sharing. WhatsApp or Skype for chatting and Zoom or Webex for meetings and conferences. As a result, the system was inefficient. Employees often needed to switch platforms every time they collaborated, depending on the work purpose.
The lack of an integrated collaboration hub leads to the following challenges:
AXO discussed the plethora of available tools within their Office 365 licensing that could hugely benefit them. One particular tool is Microsoft Teams, fixing their collaboration challenges and giving them a central hub for chatting amongst coworkers. It would avoid the costs of separate tools and bring them the collaborative experience the business deserved.
The aim was to provide the client with a complete solution to eliminate the costs of paying for disparate tools. For example, the array of Microsoft Teams audio and video conferencing tool features would save time and money on making calls both internally and externally. There was no longer any need for online applications with web links and PINs.
As well as OneDrive and SharePoint for document sharing would be cost-saving and easily integrated within the Microsoft stack using Microsoft Teams as the interface to bring all this together. Microsoft Teams was the best fit for them, leveraging enterprise-grade security, compliance, and easy management.
AXO recommended Microsoft 365 Enterprise package along with Microsoft Teams as a fix to their conference calling headaches. We will migrate all document storage from Dropbox to SharePoint, which would allow for integration with OneDrive within Microsoft Teams.
The chat features within Teams would also improve communications across departments and different team members.
AXO gathered information from the client before building specific channels for Teams and SharePoint, ensuring users have given the correct permissions and folder structures within the channels. Once successfully deployed, AXO will provide users with in-depth training to support them in adopting their new document and collaboration system.
The client is now successfully using Teams. It has hugely benefitted the business. They can now use Teams as the only platform to chat, using channels functionality and privacy. They can also benefit from task planners, sharing documents the correct way, and scheduling meetings with ease.
The team is getting used to the culture change from Dropbox and Google Drive. Still, Teams has positively impacted users, making it easier and seamless to communicate on instant chat and collaborate on documents.
